How ReadExact handles data

Who this is for

ReadExact is software for small landlords (about 4–40 units) whose water or electric meters are ones tenants can walk up to (in-unit, closet, or outdoor). Locked basement banks are out of scope. Landlords use the product to collect readings and produce invoices. Tenants use a texted link to photograph a meter.

What we store

• Landlord account email and password hash.
• Property, unit, meter ID, tenant contact, and billing policy.
• Meter photos uploaded this month, the number we proposed, and the digits the tenant confirmed.
• Invoices and notes on missed units.
• Waitlist emails submitted from the marketing page (no card required).

What we do not do

• We do not sell waitlist or tenant emails.
• We do not run a legal utility-rate engine.
• We do not silently submit a guessed reading. Unclear photos must be retaken or typed by a person.
• Analytics (PostHog / GA4) load only if the operator sets those keys. Without keys, event helpers no-op.

Photos

A photo is cropped to the meter face, then read for digits (or a sample number in demo mode). Keep photos to the meter. Serial plates and household interiors are not required.
